  • Job Summary  
    The Practice Assistant serves as the primary point of contact for patients and visitors in an outpatient unit. This role provides excellent customer service through clear communication, efficient scheduling, and support of daily practice operations at the front desk.

    Key Responsibilities
    1. Greet and assist patients, visitors, and staff in a courteous and helpful manner both in person and by phone.
    2. Provide accurate information, directions, and guidance, ensuring timely follow-up to meet patient needs.
    3. Collect complete and accurate information from patients/callers and facilitate communication with providers.
    4. Prepare schedules, medical records, and other documents in accordance with quality standards.
    5. Maintain patient confidentiality in all communications and documentation.
    6. Perform patient check-in, registration, and verification of demographic and financial information using hospital systems.
    7. Confirm prior authorizations, referrals, and pre-certifications for insurance and managed care plans.
    8. Collect required co-payments and direct patients to the appropriate service areas.
    9. Monitor patient and visitor flow, proactively resolving issues such as early/late arrivals or provider delays.
    10. Act as liaison between patients and practice staff to ensure optimal service delivery.
    11. Process patient check-out, schedule follow-up appointments, and coordinate diagnostic or lab tests.
    12. Provide patients with relevant educational materials as indicated.

    Required Qualifications
    1. High school diploma or equivalent.
    2. Strong communication and interpersonal skills.
    3. Ability to multitask and remain organized in a fast-paced environment.
    4. Proficiency with computer systems and scheduling software.
    5. Commitment to maintaining patient confidentiality and professionalism.
    6. Must have at least 2 years of recent experience in the specialty within the past 2 years.
    Preferred Qualifications
    1. Prior experience in a healthcare or outpatient practice setting.
    2. Knowledge of insurance verification and medical office procedures.
