Job Summary
The Executive Assistant II provides high-level administrative and operational support to senior executives and leadership within a healthcare organization. This role ensures the efficient day-to-day management of executive schedules, communications, meetings, and projects while maintaining confidentiality and professionalism. The Executive Assistant II serves as a key liaison between executive leadership, internal departments, external partners, and stakeholders, contributing to smooth organizational operations and effective decision-making processes.
Key Responsibilities
- Manage complex calendars, schedule appointments, coordinate meetings, and organize travel arrangements for senior leadership.
- Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and attention to detail.
- Coordinate logistics for executive and departmental meetings, including agendas, minutes, and follow-up actions.
- Serve as a communication bridge between executives and internal/external stakeholders, ensuring timely and accurate information flow.
- Handle confidential and sensitive information with discretion and professionalism.
- Assist in preparing operational reports, tracking project milestones, and managing departmental initiatives.
- Maintain organizational systems for document management, recordkeeping, and office operations.
- Support budget tracking, expense reporting, and procurement of office supplies and materials.
- Collaborate with HR, Finance, and Clinical departments to support administrative and compliance-related tasks.
- Prioritize and manage multiple tasks simultaneously while meeting tight deadlines in a fast-paced environment.
- Serve as a representative of the executive office by demonstrating professionalism and excellent customer service at all times.
Required Qualifications
- Education: Associate’s degree in Business Administration, Healthcare Administration, or related field. Bachelor’s degree preferred.
- Experience: Minimum of 3–5 years of administrative experience, with at least 2 years supporting senior or executive-level leadership, preferably in a healthcare or hospital environment.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Zoom, Teams, etc.).
- Strong written and verbal communication skills with exceptional organizational and time management abilities.
- Proven ability to handle confidential information with integrity and discretion.
Preferred Qualifications
- Bachelor’s degree in Healthcare Administration, Business, or related field.
- Experience supporting C-suite or senior clinical executives in a healthcare organization.
- Familiarity with healthcare terminology, compliance regulations (HIPAA), and administrative workflows.
- Ability to work independently with minimal supervision while maintaining a collaborative team approach.
Certifications
- None required.
- Preferred: Certified Administrative Professional (CAP) or similar administrative certification.
