  • Job Summary
    The Executive Assistant II provides high-level administrative and operational support to senior executives and leadership within a healthcare organization. This role ensures the efficient day-to-day management of executive schedules, communications, meetings, and projects while maintaining confidentiality and professionalism. The Executive Assistant II serves as a key liaison between executive leadership, internal departments, external partners, and stakeholders, contributing to smooth organizational operations and effective decision-making processes.

    Key Responsibilities
    1. Manage complex calendars, schedule appointments, coordinate meetings, and organize travel arrangements for senior leadership.
    2. Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and attention to detail.
    3. Coordinate logistics for executive and departmental meetings, including agendas, minutes, and follow-up actions.
    4. Serve as a communication bridge between executives and internal/external stakeholders, ensuring timely and accurate information flow.
    5. Handle confidential and sensitive information with discretion and professionalism.
    6. Assist in preparing operational reports, tracking project milestones, and managing departmental initiatives.
    7. Maintain organizational systems for document management, recordkeeping, and office operations.
    8. Support budget tracking, expense reporting, and procurement of office supplies and materials.
    9. Collaborate with HR, Finance, and Clinical departments to support administrative and compliance-related tasks.
    10. Prioritize and manage multiple tasks simultaneously while meeting tight deadlines in a fast-paced environment.
    11. Serve as a representative of the executive office by demonstrating professionalism and excellent customer service at all times.

    Required Qualifications
    1. Education: Associate’s degree in Business Administration, Healthcare Administration, or related field. Bachelor’s degree preferred.
    2. Experience: Minimum of 3–5 years of administrative experience, with at least 2 years supporting senior or executive-level leadership, preferably in a healthcare or hospital environment.
    3. Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Zoom, Teams, etc.).
    4. Strong written and verbal communication skills with exceptional organizational and time management abilities.
    5. Proven ability to handle confidential information with integrity and discretion.

    Preferred Qualifications
    1. Bachelor’s degree in Healthcare Administration, Business, or related field.
    2. Experience supporting C-suite or senior clinical executives in a healthcare organization.
    3. Familiarity with healthcare terminology, compliance regulations (HIPAA), and administrative workflows.
    4. Ability to work independently with minimal supervision while maintaining a collaborative team approach.

    Certifications
    • None required.
    • Preferred: Certified Administrative Professional (CAP) or similar administrative certification.
