Job Description:

 The Medical Assistant II (MA II) provides advanced clinical support to pediatric providers in a fast-paced outpatient pediatric clinic. This role is primarily focused on back-office responsibilities, including patient intake, clinical procedures, immunizations, documentation, care coordination, and assisting providers with examinations and treatments. The MA II serves as a clinical resource and helps ensure efficient patient flow and high-quality patient care.

Essential Duties and Responsibilities

Clinical Support

1. Room pediatric patients and obtain accurate vital signs, height, weight, BMI, head circumference, and developmental screening information.
2. Review and document patient medical history, medications, allergies, and immunization records.
3. Prepare patients for examinations and procedures.
4. Assist physicians, nurse practitioners, and physician assistants during exams and treatments.
5. Administer vaccines, injections, medications, and perform procedures within scope of practice.
6. Perform point-of-care testing including rapid strep, influenza, RSV, COVID-19, urinalysis, hemoglobin, and glucose testing.
7. Collect and prepare laboratory specimens for processing.
8. Conduct hearing and vision screenings.
9. Perform phlebotomy and specimen collection as needed.
10. Maintain accurate documentation in the Electronic Medical Record (EMR).

Pediatric Care Coordination

1. Review provider schedules and prepare charts prior to patient appointments.
2. Identify gaps in care, overdue immunizations, and preventive health screenings.
3. Coordinate referrals, diagnostic testing, and specialty appointments.
4. Follow up with patients and families regarding test results, treatment plans, and provider recommendations.
5. Process prescription refill requests and medication prior authorizations as directed.

Vaccine Management

1. Prepare and administer pediatric immunizations according to CDC and clinic guidelines.
2. Monitor vaccine inventory, storage temperatures, and expiration dates.
3. Maintain vaccine logs and ensure compliance with Vaccine for Children (VFC) program requirements.
4. Educate parents regarding vaccine schedules and immunization requirements.

Clinical Operations

1. Maintain exam rooms by stocking supplies, equipment, and medications.
2. Clean and disinfect patient care areas according to infection control standards.
3. Ensure compliance with OSHA, HIPAA, CLIA, and clinic policies.
4. Perform quality control checks on laboratory and clinical equipment.
5. Assist with emergency preparedness and response procedures.

Leadership & Advanced Responsibilities

1. Serve as a clinical resource for Medical Assistant I staff.
2. Assist with onboarding and training of new clinical staff.
3. Support workflow optimization and patient throughput initiatives.
4. Participate in quality improvement projects and clinical audits.
5. Assist providers with population health initiatives and care management programs.

Qualifications

Education

1. High School Diploma or GED required.
2. Completion of an accredited Medical Assistant program required.

Experience

1. Minimum 2-3 years of Medical Assistant experience required.
2. Previous pediatric clinic experience preferred.
3. Experience administering pediatric immunizations required.

Certifications

1. Current CMA, RMA, CCMA, NCMA, or equivalent certification preferred.
2. Current BLS certification required.

Required Skills

1. Pediatric patient care and clinical assessment support.
2. Immunization administration and vaccine management.
3. Phlebotomy and specimen collection.
4. Electronic Medical Records (Epic, NextGen, eClinicalWorks, or similar).
5. Strong understanding of pediatric growth and development.
6. Knowledge of infection control, HIPAA, OSHA, and CLIA standards.
7. Excellent communication skills with children, parents, and caregivers.
8. Ability to multitask and work efficiently in a high-volume pediatric practice.

Preferred Qualifications

1. Experience with pediatric specialty clinics or large multi-provider practices.
