  • Job Summary
    The Quality Control/Indexing Tech is responsible for scanning, indexing, organizing, and maintaining medical records with a high degree of accuracy.
    This role ensures timely processing of assigned workloads, supports medical record release requests, and adheres to HIPAA regulations.
    The position requires strong attention to detail, the ability to follow procedures, and proficiency in basic office equipment and medical record handling.

    Key Responsibilities
    • Retrieve documents from the scanning shelf and perform the scanning process according to established procedures and timeframes.
    • Perform indexing activities with a high accuracy rate.
    • Ensure all scanned documents are positioned correctly and make adjustments as needed.
    • Merge documents within an encounter accurately when appropriate.
    • Correctly insert pages and documents as required.
    • Ensure patient name and medical record number appear on each page.
    • Review daily workload and ensure timely processing of all queue assignments.
    • Track and manage medical record release requests, including contacting physician offices and logging receipt of records.
    • Prepare medical records for physician review and scan documents after review and labeling.
    • Maintain an organized scanning process in compliance with HIPAA regulations.
    • Assist the Ancillary Secretary with additional tasks such as scanning and faxing EKG reports and preparing print packages for referrals.
    • Perform filing duties, including purging and archiving documents.
    • Carry out other duties as assigned.

    Required Qualifications
    • Strong communication skills (written and verbal).
    • Ability to follow directions and established procedures.
    • High attention to detail.
    • Ability to operate office equipment, including copier, printer, and fax machine.
    • Ability to answer phones professionally.
    • Basic understanding of medical terminology.
    • Basic computer skills.
    • No minimum educational requirement listed.
    • No required licensure or certification.
    • No required experience.

    Preferred Qualifications
    • One year of clerical experience, preferably in a Medical Records department or healthcare setting.
