Job Summary
We are seeking a professional and customer-focused Medical Secretary to support daily front office operations and provide exceptional service to patients and healthcare providers. This role is responsible for managing patient check-in processes, collecting copayments, handling incoming calls, maintaining administrative records, and ensuring efficient office workflow within a healthcare setting.
Monday through Friday 12:30pm to 9:00pm.
Key Responsibilities
- Greet and check in patients in a courteous and professional manner.
- Collect copayments and process patient payments accurately.
- Answer and direct incoming calls on the front desk phone line.
- Schedule, confirm, and coordinate patient appointments as needed.
- Review patient screening forms for completeness and accuracy.
- Perform administrative duties, including faxing, scanning, filing, and document management.
- Create and burn CDs containing patient imaging or medical records when required.
- Maintain accurate patient information and update records in the electronic medical record (EMR) system.
- Assist with patient registration and insurance verification processes.
- Ensure patient confidentiality and compliance with HIPAA and organizational policies.
- Support providers and clinical staff with administrative requests and office coordination.
- Maintain a clean, organized, and professional reception area.
Required Qualifications
- High School Diploma or equivalent required.
- Previous experience in a medical office, healthcare administration, reception, or customer service role.
- Strong verbal and written communication skills.
- Excellent interpersonal and patient service skills.
- Proficiency with Microsoft Office applications and general office equipment.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Strong organizational skills and attention to detail.
- Ability to maintain confidentiality and handle sensitive information appropriately.
Preferred Qualifications
- Experience working in a physician practice, clinic, hospital, or diagnostic imaging center.
- Epic experience needed
- knowledge of medical terminology, insurance verification, and patient registration processes.
- Experience with copay collection and medical office billing procedures.
Certifications
- Medical Administrative Assistant (CMAA) certification preferred.
- Healthcare administration or medical office certifications are a plus.
