  • Job Summary
    The Referral Coordinator is responsible for coordinating incoming patient referrals, including insurance referrals, and performing essential front office duties. This position ensures that all referrals are accurately reviewed, transcribed, and managed within the Epic EMR system. The role involves facilitating seamless communication between clinics, patients, and healthcare providers to deliver efficient and compassionate patient care.

    Key Responsibilities
    1. Manage and process incoming and outgoing referral work queues in Epic to ensure timely scheduling and follow-up.
    2. Facilitate patient appointments or referrals to the appropriate clinic or department.
    3. Establish and maintain open communication with internal departments and external clinics to ensure a smooth referral process.
    4. Respond promptly and professionally to patient inquiries, phone calls, and written correspondence.
    5. Verify patient demographics, guarantor details, and insurance coverage for billing accuracy.
    6. Submit required documentation to obtain insurance authorizations and ensure timely completion of referrals.
    7. Organize and manage outgoing documents sent to Health Information Management (HIM) for scanning and indexing.
    8. Request and obtain medical records from referring offices or external organizations as needed.
    9. Collect co-pays and deductibles, provide receipts, and follow appropriate financial procedures.
    10. Coordinate with clinical staff to gather medical records for HMO insurance submissions, when applicable.
    11. Contact patients to schedule annual Medicare wellness visits and annual HMO physicals in collaboration with nursing staff.
    12. Provide front desk coverage as needed, including answering phones, retrieving messages, and returning calls.
    13. Maintain compliance with the organization’s Code of Conduct and report any compliance concerns.
    14. Perform additional related duties as assigned.

    Required Qualifications
    1. Education: High school diploma or GED (or higher degree.
    2. Experience: Minimum of one (1) year of experience in a clinical or ambulatory care setting.
    3. Proficiency in Epic EMR, Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), and general office equipment.
    4. Strong organizational, communication, and customer service skills.
    5. Ability to handle changing priorities, maintain professionalism in stressful situations, and demonstrate empathy in patient interactions.
    6. Basic knowledge of insurance eligibility and benefit coverage.

    Preferred Qualifications
    1. Experience with electronic scheduling systems and insurance/HMO authorizations.
    2. Knowledge of Epic scheduling, registration, and communication tools.
    3. Strong critical thinking and problem-solving skills.
    4. Self-starter with the ability to work independently and as part of a team.
