Job Summary
We are looking for a bilingual (Spanish/English) Medical Front Office Receptionist who thrives in a fast-paced healthcare environment. This role involves greeting patients, managing appointment schedules, handling patient check-in/out, answering calls, and supporting administrative functions within the clinic. The receptionist plays a vital role in delivering patient-centered care and acts as a friendly, professional liaison between patients, providers, and staff.
Key Responsibilities
- Greet patients, staff, vendors, providers, and community members warmly and professionally.
- Assist front office staff with pre-registration of patients for scheduled appointments.
- Schedule, confirm, reschedule, or cancel medical appointments; perform patient callbacks and manage voicemail throughout the day.
- Enter insurance information accurately and process patient co-payments.
- Screen new members for health center assignment and eligibility.
- Maintain compliance with HIPAA and privacy regulations at all times.
- Prepare intake information and complete initial patient registration.
- Collect and deposit money at the end of shifts per policy guidelines.
- Maintain and organize filing systems; operate office equipment and software proficiently.
- Direct patients and visitors to appropriate departments or providers; request assistance when needed.
- Participate in departmental meetings and contribute as a proactive team member.
- Keep work areas clean, organized, and free of clutter.
- Follow finance policies related to patient registration for appointments and labs.
- Support the Patient Centered Health Home model through team-based approaches.
- Perform other duties as assigned by management.
Required Qualifications
- Bilingual in Spanish and English (required).
- High school diploma or GED.
- Medical Administration Assistant certificate or similar medical certification preferred.
- Minimum one year experience in a medical front office or customer service role preferred.
- Familiarity with Managed Care/Medi-Cal programs (e.g., F-Pact, CDP, CHDP, presumptive eligibility) preferred.
- Excellent customer service and phone communication skills.
- Knowledge of medical office practices and procedures preferred.
- Strong flexibility, initiative, reliability, and creativity.
- Proficient with medical software and data entry.
- Experience using Microsoft Office (Word, Excel, PowerPoint).
- Knowledge of and ability to work respectfully with American Indian and other minority communities.
- Ability to maintain strict confidentiality.
- Typing speed of at least 45 WPM preferred (verification or testing required).
- Ability to multitask and thrive in a fast-paced, dynamic environment.
- Demonstrated honesty, professionalism, and good judgment.
- Willingness to cross-train in other medical department areas.
Physical Requirements
- Ability to sit, stand, and walk for extended periods in a fast-paced clinic environment.
- Ability to lift up to 35 pounds.
- Ability to stoop, squat, and bend frequently.
- Manual dexterity and eye-hand coordination sufficient for job duties.
